JOB SUMMERY
The Finance & Admin Assistance reports directly to Project Officer with support from Country Office Finance and Admin. The incumbent is responsible for processing and producing bookkeeping, ensuring all transaction-supporting documents are complete and properly filed and reconciling bank accounts entries.
RESPONSIBILITIES AND DUTIES
In accordance with Tree Aid Ethiopia (TAE) approved policies and procedures, the incumbent:
- Handles petty cash and performs monthly petty cash count with PM including bookkeeping.
- Prepares cash advances for project staff travel.
- Ensures that all documents are complete with the appropriate supporting documents, reviewed and approved before processing for payment.
- Make complete transaction-supporting documents and files accordingly.
- Ensures that all payments are made on time.
- Follows up on bank transactions and files hardcopies and generates reports.
- Assists the PM in the monitoring and follow up of project finances in the country.
- Assists in cash disbursements, accounts payable and payroll preparation
- Perform routine banking services including collecting bank statements, making bank transfers depositing and withdrawing cash, preparing bank reconciliation statements at the end of the month.
- Tracks incoming wire transfers and reports any delays or discrepancies to the project officer
- Ensures all purchase documents are well documented and followed according to policies.
- Follows up on inventory control and assets management.
- Performs other duties as assigned.
JOB REQUIREMENT
MINIMUM QUALIFICATIONS
- Diploma/Bachelor’s degree in accounting 4 years’ experience working in project finance implementation and facilitation of field activities.
COMPETENCIES / PERSONAL ATTRIBUTES:
- Ability to confidently represent oneself and Tree Aid
- Excellent communication skills both verbal and written
- Trainings in IPSAS is an asset
TECHNICAL SKILLS
- Computer literacy in outlook, MS Word, PowerPoint, Excel and Internet
- Understand programme/programme management cycle
- Effective report writing and analytical skills
